Privacy Policy

This policy explains how ThinkOnce ("we", "us") looks after personal information when you use thinkonce.ai, take one of our free tools or become a client. We are the controller of the information described here. You can reach us at hello@thinkonce.ai.
What we collect
- Information you give us: your name, business name, business email address, website, LinkedIn URL and anything you write in our forms, the growth assessment, the LinkedIn audit application or your Discovery Form.
- Assessment answers: the answers you give in the growth assessment, which we use to produce your result.
- Payment information: payments are handled by Stripe. We receive confirmation of payment, your name, business name, email and the plan and platform you chose. We never see or store your card details.
- Content and account connection details: if you become a client, the business information you give us and the connection to your LinkedIn profile or page through our scheduling platform. We never ask for your passwords.
- Usage information: with your consent, analytics about how the site is used, such as pages visited and the device and browser used.
How we use it
- To deliver the service you signed up for, including planning, creating and publishing your content.
- To send you what you asked for, such as the free guide, your assessment result or a reply to an enquiry.
- To send our newsletter, if you subscribed. You can unsubscribe at any time.
- To take payment, keep records and meet our legal and tax obligations.
- To understand how the site is used and improve it, where you have agreed to analytics cookies.
Our legal bases
We rely on: performing our contract with you when you are a client; your consent for marketing emails and analytics cookies; our legitimate interests in running and improving a small business and responding to enquiries; and legal obligation for accounting and tax records.
Who we share it with
We use trusted service providers to run ThinkOnce. They only process information on our instructions. They include Stripe (payments), Make.com (automation), Notion and Cloudflare (storage and hosting), Google (email, sheets and analytics, where enabled), LinkedIn (insight tag, where enabled), our social media scheduling platform, and AI providers used to help plan and write content and assessment results. Some of these providers are based outside the UK. Where that happens we rely on appropriate safeguards such as the UK International Data Transfer Agreement or an adequacy decision.
We do not sell your personal information.
How long we keep it
We keep client information for as long as you are a client and for up to six years afterwards for accounting and legal reasons. Marketing contacts are kept until you unsubscribe. Assessment and enquiry information is kept for as long as it is useful to respond to you, and no longer than two years unless you become a client.
Your rights
Under UK data protection law you can ask us for access to your information, to correct it, to delete it, to restrict or object to how we use it, and to receive a copy in a portable format. Where we rely on consent you can withdraw it at any time. Email hello@thinkonce.ai and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
